Workday Mobile
Overview
Workday Mobile is optimized for mobile devices, offering fast and simple self-service to view information and complete tasks. However, the Support Team has found its functionality to be limited. For full access to all Workday features on your mobile device, open your device’s browser and go to https://workday.wi.mit.edu on your device’s browser.
🔒 Keep it safe! Workday Mobile makes access quick and simple, but remember that it contains sensitive information. Always secure your device so only you can sign in.
Prerequisites (as of 2025)
- iPad and iPhone devices running iOS 17.0 and higher.
- Devices running Android 12.0 and higher.
To check your device version, open Settings, tap the Search icon at the top, type "Version" into the search bar, and select the appropriate result, such as "Android Version", "iOS Version", "Software Version", or "Device Information" to view the details.
* Android and iOS OS versions are subject to change depending on Apple and Google release updates and security patch support.
Limitations
Workday designs its mobile applications primarily for self-service users, but not all features are available as they are on the desktop.
- Check-in and check-out are not available on the mobile.
- You can not create requisitions and place orders on mobile.
- Some apps and dashboards not used by Whitehead may still appear on the mobile app, as they currently cannot be configured or hidden. Workday is working to make the mobile and desktop experiences more consistent over time.
Security
Workday mobile uses the same security settings and permissions as your existing Workday account.
Download the Mobile App
Option 1: Find and scan the QR code. Enter the organization ID: wibr during the app setup process.
To find the QR code, log in to Workday on a desktop, click your profile picture in the top right corner, select My Account, then Organization ID, and scan the QR code displayed. It will take you to the App Store for the Workday Mobile app, download the app, and enter the organization ID: wibr


Option 2: Download the Workday app from the Google Play Store or Apple App Store by searching for "Workday" and installing it.
Once the app is downloaded, install and open it. Enter organization ID: wibr
If you don’t see the app, your device may not be supported. Please check your Android or iOS version to ensure compatibility.
Option 3: For users already using the Workday app with another company:
Tap the top of the app screen to access the Add Organization option. Enter the “wibr” code, and it should automatically redirect you to the Whitehead login.
If it doesn't, you can manually enter the “wibr” code and the web address provided below, then save it. Once added, you’ll be able to switch between organizations within the app.

Login Workday Mobile
Once the Workday app is installed, log in using your OKTA credentials and DUO for multi-factor authentication.
At the bottom of the mobile app, you’ll find navigation options: Home, Apps, My Tasks, Find, and Profile.

Logout Workday Mobile
To log out, tap the top left workday logo on the home page and tap sign out.

Biometric/PIN setup
For quick access on mobile devices, you can set up biometric authentication or a PIN. If you fail the biometric or PIN three times in a row, the Okta login window will appear.
You can skip these setup steps by clicking the “SKIP” button at the top right.


To edit the biometric or PIN settings:
From the home page, open the Workday logo dropdown menu, select Settings, then Login.
Or, in the mobile app, tap Profile at the bottom, then tap the gear icon at the top to open Settings, and select Login.

Quick Expense lets you enter a single expense line and save it. Later, you can combine saved Quick Expenses to create a full report. You can also attach receipt photos to each Quick Expense.
Jobs Hub
View current job openings at the company.
Notebook
*Only available on iPad
Take notes, and share them with others.
Pay
View your payment details.
People
Search for and contact other people within the company.
Team
*Only available for managers.
Manager can view and manage their team.
Benefit and Pay App
To make this app appear on your mobile device, add it to your Workday desktop first. On Workday desktop, click the menu in the top left corner, then scroll to the bottom and select “Add Apps.” Search for “Benefit and Pay,” and add it to your apps.


Expenses App
Use the Expenses app to scan and create expense reports.


A Quick Expense is a single line item in an expense report. You can add Quick Expenses by clicking the Enter Quick Expense button (see below). Later, you can combine one or more saved Quick Expenses to create a full expense report. You can also attach a receipt image to a Quick Expense, and it will be included in the full report.
