How to Do a Retroactive Effort Change in ECC

Step #1 - ALM navigates to an Auto Approved statement and clicks “Reopen” at the bottom right of the statement (Select “OK” on the pop-up box).
- Search on the Employee in the top-right search box. When the Look-up Page appears, select the Employee from the Employee column/box.
- You will be brought to the Employee's current "In progress" effort statement.
- Select the historical (Auto Approved) effort statement that you need to update. You will find it under the Historical menu in the upper-right frame. Make sure that you are pointing to the month's effort statement that you are trying to update!
Step #2 - Statement moved to a Not Certified, Re-Opened status.
- Click the Reopen button at the bottom of the effort statement that you need to update.
Step #3 - ALM makes updates to Certified Effort and clicks “Save” at the bottom of the statement.
- Make the necessary changes in the Certified Effort column.
- Click the Save button. (Not the Certify button!)
Step #4 - ALM clicks the “Override Status” link at the top of the statement and selects “Auto Approved” (Select “OK” on the pop-up box).
- DO NOT click the Certify button!
- Click the Override Status link!
- Click OK on the confirmation message.
Step #5 - Statement is updated and reflects Certified Effort changes.
- You may now reprint & sign your updated effort statement.
- Rerun the External Audit Report (Reports ---> Reporting ---> Category = Management ---> External Audit Report).
Note: This is a unique workflow for Whitehead as we have no other clients currently using a process of moving all statements from In Progress to Auto Approved. For consistency in reporting, we recommend following the above step in moving the statement back to Auto Approved rather than selecting the “Certify” button on the statement.
