Absence Management and Time Entry FAQ's
Where will I enter my time (hours worked)?
Workday is replacing Kronos. You will now use Workday for entering time (hours worked).
Are timesheet notifications only in Workday or also sent by email?
Timesheet notifications will be provided in Workday as well as via email.
Can you enter time in advance?
All non-exempt employees are required to enter time as part of the payroll process. This will be completed either at a Time Clock or on their desktop computers. PTO and other absence can be entered anytime with no limit.
Where will i enter my time off?
Workday is replacing Kronos. You will now use Workday for entering your time off requests (e.g. PTO, Sick, etc).
How far in advance can I request time off?
There is no limit.
Can I request approval for time off that I've already taken?
Yes, requests can be retroactive.
For PTO requests, do I need to request a full day?
PTO requests can be in quarter-hour increments.
If PTO is requested and approved but then not taken, what happens?
Requests to correct or remove previously approved time off can be submitted through the Correct My Time task on the Absence App.
What happens if I forget to enter my time?
Workday has various alerts set up to notify employees/timekeepers when time has not been entered, time has not been approved, etc. Timekeepers can update/add time as necessary for employees.
Are Exempt employees required to enter PTO monthly?
PTO entry is required for all eligible employees. Quarterly notification reminders will be configured.
Will timeclocks still exist?
Yes. Anyone who used a timeclock before Workday will continue to use the timeclock after Workday goes live.
How are paid lunches handled?
Whitehead policy is a 8.5 hour workday with 0.5 hour lunch. (Exception: Paid lunch for a security guard who cannot take the break under specific circumstances)
