Joining a Meeting from a Zoom Room
There are a few ways that you can join a meeting from a Zoom Room at Whitehead.
Types of Meetings
The following meeting types can be joined from a Zoom Room:
- Zoom
- Google Meet
- Microsoft Teams
- Webex
Note: If you need to join a meeting from a different provider, some of the displays allow you to connect using a Bring Your Own Device (BYOD) method. If there is a USB-C cable attached, you can connect to the display using that cable and it should allow you to use the screen, camera, and microphones from the display.
How to Join
Using the Conference Room calendar - For all Meeting Types
The easiest way to join a meeting is to include the meeting link/URL in the calendar invite when you invite the conference room to your meeting. Each Zoom Room is synced with its corresponding conference room and you will be able to see the scheduled meetings on the screen.

Create your meeting and invite your desired conference room.
- Be sure the invite includes the meeting link
- Once you see your scheduled meeting on the display, you can simply tap the meeting on the screen and then tap "Join" to join the meeting.
Note: This method also allows you to connect to any of the listed meeting types above without any additional steps.
Manually Join a Meeting using the Appropriate App Button
- Tap the button associated with the meeting type you are joining
- Zoom
- Google Meet
- Microsoft Teams (Located in the "More" folder on screen)
- Webex (Located in the "More" folder on screen)
- You will then be asked to enter the Meeting ID, then click Join.
- If the meeting requires a passcode, you will then be asked to enter the passcode.
- This should join you to the meeting.
From a Laptop logged into a Whitehead Zoom Account
If you have the Zoom app installed on your laptop and you are signed in with a Whitehead Zoom account, you can control the Zoom Room and join meetings from your laptop.
Note: This method only works using a Whitehead Zoom account. If you are using an MIT Zoom account, you will want to join using one of the other methods.
- You will need to pair with the Zoom Room to control it. Instructions can be found here.
- Once paired to the Zoom Room, you can click to join a meeting from the Zoom app on your laptop.
- You will want to select "Join from a Room".
- This should join the meeting on the Zoom Room display that you are paired to.
